Custom CRM development

A CRM built around your process — not the other way around.

Zentric develops custom CRMs for B2B sales teams: your pipeline, your fields, your automations, your reports. Built in 2–8 weeks, launched with your data migrated, and priced flat every month — never per seat.

When a custom CRM is the right call.

Most teams don't start out wanting custom software. They start with a platform, then spend a year bending it: custom objects nobody documents, a dozen required fields added to fix a reporting gap, three automations that half-work, and an admin whose real job has quietly become CRM maintenance. The license was the small cost. The bending was the large one.

Custom CRM development inverts that. Instead of configuring a generic system until it approximates your process, the system is developed from your process on day one. The stages are your stages. The fields are the ones your reps actually fill in. The reports answer the questions your leadership already asks in the Monday meeting.

It's the right call when your sales process is a differentiator rather than a commodity, when per-seat pricing is growing faster than your revenue, or when your team has already voted with their behavior by running the real pipeline in a spreadsheet.

The build

How the development process works.

01

Fit call and process mapping

A 20-minute call to map how your team actually sells: the stages a deal moves through, who owns it at each step, what data decides the next action, and where the current system loses information. Nothing is built until that map matches reality — most failed CRM projects fail here, by automating a process nobody follows.

02

Scope and architecture

We turn the map into a build scope: pipelines, objects, custom fields, roles and permissions, the reports leadership needs, and the automations worth writing. You get the scope in writing with a fixed build fee and a flat monthly price before development starts.

03

Build

Your CRM is developed as a real application — a workspace with your pipeline, your terminology, your required fields, and your routing rules. Not a template with a logo swapped in, and not a settings screen you have to configure yourself.

04

Data migration

Contacts, companies, deals, and history come across from your existing CRM or spreadsheets, with duplicate detection and cleaning as part of the move. Foundation covers one primary source; Growth and Scale cover multiple systems.

05

Training and launch

Admin and team training sessions, then launch. The goal is that a rep can log a call and advance a deal without reading documentation.

06

Ongoing development and support

The monthly fee covers hosting, security, backups, maintenance, product updates, and continued changes as your process evolves. When the process changes, the CRM changes with it — that is the difference between a custom build and a subscription you outgrow.

AI

AI that removes work, not AI that surfaces it.

Every Zentric build ships with AI wired into the records your team already touches. The measure isn't how much intelligence the interface displays — it's how much work leaves the operator's plate. That standard is written down in our Calm Intelligence manifesto.

AI lead scoring and prioritization

Scoring that reorders the queue instead of adding a column of suggestions. The rep opens the CRM and the right deal is at the top.

AI drafting

Follow-up emails and outreach drafted in your voice from the deal record, ready for a quick review rather than a blank text box.

AI summaries

Contact, deal, and activity summaries so a rep picking up an account does not have to read six months of notes.

AI next-step suggestions

Concrete next actions attached to the record — with the task created for you, not just recommended.

Agent and MCP access

Zentric exposes an MCP server, so AI assistants can read and create contacts, deals, and tasks against your workspace with your permissions applied.

Custom AI workflows

On Scale builds, specialized AI assistants and workflows scoped to your operation — routing, qualification, or reporting logic specific to how you work.

Weighing it against a platform?

Honest side-by-sides, including where the incumbent is the better choice:

Custom CRM development FAQ.

What is custom CRM development?

Custom CRM development is building a CRM around a company's actual sales process instead of configuring a generic platform to approximate it. The pipeline stages, fields, permissions, reports, and automations are developed to match how the team already sells, and the system is maintained as that process changes.

How long does custom CRM development take?

Zentric builds launch in 2–3 weeks for a Foundation build, 2–4 weeks for a Growth build, and 4–8+ weeks for a Scale build with complex integrations or multi-team architecture.

How much does a custom CRM cost?

Zentric charges a one-time build fee plus a flat monthly platform fee: Foundation is $1,500–$2,500 to build and $99–$149 per month, Growth is $3,000–$5,000 to build and $199–$349 per month, and Scale starts at $6,000 to build with $400–$800+ per month. Pricing is flat, not per seat, so adding people does not change the invoice.

Is a custom CRM better than Salesforce or HubSpot?

It depends on the shape of your process. Platforms like Salesforce and HubSpot are excellent when your process fits their model, and expensive when it doesn't — the cost moves into customization work, admin time, and per-seat licensing. A custom build makes sense when your process is the thing that differentiates you, or when per-seat pricing has started to grow faster than your revenue.

Do I own the data in a custom CRM?

Yes. Your data is yours and can be exported at any time. Hosting, security, backups, and maintenance are included in the monthly platform fee.

Can a custom CRM integrate with the tools we already use?

Yes. Growth builds include up to two standard third-party integrations, and Scale builds cover more complex or bespoke integration work as part of the scope.

Start with the process, not the software.
